Terms & Conditions

Draft for review Β· Last updated: 24 October 2026

1. Provider and agreement

These draft terms describe the proposed relationship between the operator of Xone Business and the customer using its accounting service. The final agreement must identify the operator's full legal name, registered address, registration details and verified contact information.

The final terms, selected plan, order confirmation and any agreed data processing agreement should be made available before purchase. The order must record acceptance of the applicable version. This website draft does not itself establish that a contract has been concluded.

2. Eligibility and account authority

The service is intended for business accounting. A person opening or administering an organisation account must have authority to act for that organisation, provide accurate information and manage access appropriately. An organisation remains responsible for the actions of its authorised users.

To confirm: minimum account age, available countries and whether consumer subscriptions are supported. Actual legal status determines consumer protections; describing a customer as a business does not remove rights that apply by law.

3. Service and plan scope

Xone Business offers subscription-based accounting tools. The features available to a customer must be those identified in the selected plan and order, including any regional restrictions or third-party dependencies.

Plans have no per-user charges. Selected plans include multiple business entities without an additional entity charge within their stated limits. Unlimited users does not mean every plan includes unlimited entities. Features, entity allowances and prices must be clearly confirmed before purchase.

The software does not replace qualified accounting, legal, payroll or tax advice. Customers remain responsible for reviewing records, meeting filing obligations and checking outputs against applicable rules. Specific migration, compliance or availability guarantees require a separate, confirmed commitment.

4. Account security and permissions

Customers must keep credentials secure, assign individual access only to authorised people, promptly remove access when it is no longer needed and notify the operator of suspected compromise. Do not access another organisation's records without permission.

The account owner should define who can manage subscriptions, invite users, connect integrations and export or delete information. The final service must disclose available access controls and the process for resolving disputed account ownership.

5. Monthly and yearly subscriptions

Monthly and yearly packages are available. Monthly subscriptions cover a monthly billing period; yearly subscriptions cover a full year. The total charge, currency, applicable taxes, billing frequency and any renewal arrangements must be displayed before a paid order is placed.

The current website's base prices and yearly savings are proposed amounts, not confirmed commercial terms. The final order must state the agreed price. Automatic renewal and recurring payments require clear disclosure and the customer's authorisation; this draft does not establish that renewal or payment collection is implemented.

To confirm: payment methods, renewal dates, tax treatment, price-change notice, treatment of failed payments and any grace period. Price increases must not be applied retrospectively to an already-paid period unless expressly lawful and agreed. Any future changes should provide the required notice and cancellation rights.

6. Subscription start and first payment

Xone Business does not offer a free trial. Payment is collected when the customer subscribes. Monthly subscriptions begin at the advertised discounted price; yearly subscriptions are charged at the annual price displayed at checkout.

The amount, applicable taxes, billing frequency, regular price after any promotion and renewal and cancellation arrangements must be clearly disclosed before the customer authorises payment.

7. Introductory promotion

The advertised promotion is 60% off the first six months of an eligible monthly subscription, starting with the first payment at subscription checkout. This means paying 40% of the applicable regular monthly subscription price during the promotional period, then the regular price disclosed at purchase. There is no free period before billing starts.

To confirm: eligibility restrictions, offer dates, plan changes, repeat subscriptions and whether offers may be combined. The current banner applies to monthly plans; it does not promise six discounted months on a yearly package. Any yearly promotion must be stated separately before purchase.

Restrictions must be disclosed before purchase rather than introduced after the customer has accepted the offer.

8. Plan changes and cancellation

Customers may request cancellation of future renewal without cancelling a payment retrospectively. Cancellation timing, the last day of access and any remaining charges must be confirmed. Refund requests are handled separately under the Refund Policy and applicable law.

To confirm: the actual cancellation channel, processing cutoff, confirmation method, upgrade and downgrade dates, proration or credit rules and how entity limits are handled on a downgrade. Do not assume deletion of an account cancels billing, or that cancelling a subscription immediately deletes data.

9. Customer data and confidentiality

Customers retain their rights in records and materials they provide. The proposed service licence is limited to hosting, copying, transmitting and processing that information as necessary to provide the agreed service and follow lawful instructions; it is not a transfer of ownership.

Customers must have the rights and lawful basis to upload records, invite users and share information through integrations. Each party should protect the other's confidential information and disclose it only to authorised recipients, as required to perform the agreement or as lawfully required. Publicly available information and independently developed information are not ordinarily confidential.

The Privacy Policy explains controller activities; customer-controlled personal data requires a finalised DPA. No right to sell customer records or use them for model training is granted by this draft.

10. Acceptable use

Customers must not use the service to break the law, infringe others' rights, distribute malicious code, send unlawful communications, interfere with security, attempt unauthorised access or deliberately disrupt service availability.

Any technical rate limits or fair-use conditions must be disclosed in advance and must not be used to impose undisclosed per-user fees. The service must not be used to misrepresent records or evade legally required accounting or tax obligations.

11. Third-party integrations

Optional bank connections, payment services and other integrations may require separate accounts, permissions and terms. Customers should review the information shared and can request disconnection through the supported process. Third-party fees must be identified separately from the subscription price.

Third parties may change or interrupt their services. Any limitations on responsibility must comply with applicable law and cannot excuse Xone Business from its own obligations. Stripe has been proposed for payments; these terms do not claim it is already connected.

12. Availability, support and service changes

Maintenance, updates and external dependencies may affect access. The final service terms must specify support channels, any committed support hours, incident notifications and any agreed service levels. No uptime percentage, response-time guarantee or verified backup schedule is established by this draft.

Material reductions to paid features should be communicated with appropriate notice and any required remedies. Customers should keep independent copies of critical records, without reducing the operator's agreed security, backup or data-protection duties.

13. Suspension, termination and data export

Proposed suspension grounds include a serious security threat, unlawful use, a material breach or non-payment. Any action should be proportionate; notice and an opportunity to remedy should be provided where appropriate, except where immediate action is necessary for security or law.

To confirm: notice and cure periods, access during suspension, export formats, post-cancellation export availability and deletion timing. The earlier website reference to a 90-day export window was an unconfirmed proposal, not a verified service capability. A final, supported export period must be agreed before launch.

Termination does not remove lawful payment obligations already incurred, mandatory refund rights or obligations to return or delete personal data under the DPA.

14. Intellectual property

Rights in the Xone Business software, branding and documentation remain with their respective owners. The proposed subscription grants a non-exclusive right to use the service for the customer's agreed business purposes during the subscription, subject to these terms.

Customers may not copy, resell or reverse engineer the service except where permitted by law or separately agreed. Suggestions and feature requests do not transfer ownership of customer records or confidential information; any additional licence for feedback should be clearly agreed.

15. Warranties and liability

The final agreement must specify any service warranties, remedies and lawful allocation of risk. No financial liability cap, broad exclusion of losses, indemnity or β€œas is” waiver has been selected in this draft; those clauses require legal review based on the provider, customer type and markets served.

Nothing in these policies excludes liability or remedies that cannot lawfully be excluded, including mandatory consumer or data-protection rights. Any permitted limitation must not override liabilities that applicable law protects, such as fraud or other non-excludable conduct.

16. Mandatory consumer rights

If a customer qualifies as a consumer, applicable statutory rights remain available alongside any contractual benefit. These may include pre-contract information, withdrawal rights and remedies for digital services that do not conform to the contract.

EU and UK withdrawal rules depend on the service and circumstances. Early performance, loss of withdrawal rights and any proportionate charges require the disclosures and express requests or acknowledgements required by law. A checkbox accepting these terms alone is not a substitute for those requirements. See the Refund Policy for the distinction between cancellation, discretionary refunds and statutory remedies.

17. Governing law and disputes

To confirm before publication: the governing law, competent courts and any applicable complaint or alternative dispute resolution obligations. No jurisdiction, exclusive forum or arbitration requirement has been invented here.

Customers should first raise concerns through the verified support contact, without losing any right to bring a claim or complain to an authority. Mandatory consumer protections and any protected choice of court take precedence over inconsistent contractual provisions.

18. Changes, notices and contact

The final terms should state when changes take effect, how customers receive notice and what rights apply when a material change is not accepted. Changes must not retrospectively remove accrued rights. Severability or transfer of the agreement must operate only to the extent permitted by law and without removing required safeguards.

Contact to verify: support@xonebusiness.com is currently shown on the website but must be confirmed, alongside the legal operator and postal address. Keep a dated copy of the terms and order confirmation applicable to each subscription.
